Tournament Mode
This feature is currently in beta and is only accessible to district admins.
Tournament mode enables district-wide umpire assignments for playoffs, all-star games, and special events.
When to Use Tournament Mode
Tournament mode is ideal for:
- District Tournaments - Playoff games across multiple leagues
- All-Star Games - Special events requiring experienced umpires
- Inter-League Play - Games between teams from different leagues
How Tournament Mode Works
In tournament mode:
- Self-assignment is disabled
- District administrators assign all umpires
- Umpires from any league can be assigned
- Enhanced scheduling controls are available
Enabling Tournament Mode
- Go to District Settings
- Find Tournament Mode
- Select the leagues to include
- Set the date range
- Enable tournament mode
Tournament mode can be enabled for specific leagues while others remain in regular season mode.
Scheduling Tournament Games
Create tournament games with:
- Flexible team selection (TBD for bracket games)
- Multiple umpire positions (plate, bases)
- Cross-league umpire pools
- Crew chief designations
Championship Assignment Tracking
Track prestigious game assignments to ensure fair distribution among umpires.
Marking Game Significance
When creating or editing a game, set the Significance field in the Options section:
- Winners’ Final - The final game of the winners bracket
- Losers’ Final - The final game of the losers bracket
- Championship - The championship game
Tracking championship assignments helps you ensure experienced umpires get recognition while giving newer umpires opportunities to work prestigious games over time.
Fair Distribution
The system tracks championship assignments by:
- Umpire - See each umpire’s history of significant game assignments
- Season - Track distribution across years
- Game type - Compare championships vs. bracket finals
Use this data when making tournament assignments to balance opportunities among qualified umpires.
Tournament Assignment Page
The tournament assignment page provides a Gantt-chart timeline view for assigning umpires to tournament games efficiently. Access it from the Games page by clicking the Assign button.
Opening the Assignment Page
- Navigate to Games
- Click the Assign button (visible to admins only)
- Select a Game Type to filter (e.g., “Tournament of Champions”)
- Select an Umpire Pool to see available officials
Layout Overview
The page is split into two main areas:
- Timeline (left) — A Gantt-chart with venues as rows and time as columns. Games appear as colored blocks on the timeline based on their start time and duration.
- Stats Table (right) — A live breakdown of plate and bases assignments per division for every umpire in the selected pool.
The timeline has two sections stacked vertically:
- Venues — Each row shows a venue/field with game blocks positioned by time. Game blocks display the division, teams, and assignment slots (Plate, Base, etc.).
- Officials — Each row shows an umpire with their current assignments as blocks on the same timeline. Availability is indicated with colored dots (green = available, amber = partial, red = unavailable).
Day Navigation
Use the day tabs at the top to switch between tournament days. A yellow dot on a tab indicates that day has unsaved changes.
Umpire Pools
Umpire pools let you curate groups of qualified umpires for tournament assignment. Create pools ahead of time and reuse them across tournaments.
Creating a Pool
- On the assignment page, click Manage Pools
- Type a name for the pool (e.g., “TOC 2026 Pool”)
- Click Create
Adding Umpires to a Pool
- In the pool management dialog, select a pool
- Use the search field under Add Umpires to find officials
- Click the add button next to each umpire to add them
Removing Umpires
Click the × button next to any member’s name to remove them from the pool.
Create separate pools for different tournament tiers. For example, maintain an “A-Team” pool for championship-caliber umpires and a broader pool for early-round games.
Drag-and-Drop Assignment
Assign umpires by dragging their name from the Officials section onto an open position slot on a game block.
How to Assign
- Find the umpire in the Officials section of the timeline
- Drag their name row
- Drop onto an open position circle (P for Plate, B for Base, etc.) on any game block in the Venues section
- The assignment appears as a staged change with an amber dashed border
Staged Changes
All assignments are staged before saving. This lets you rearrange crews and experiment with different configurations:
- Staged adds appear with amber dashed borders
- Staged removals show the position as open again
- The Save Day button commits all changes for the selected day
- The Discard button reverts all pending changes
Staged changes are per-day. You can work on multiple days independently and save each day when ready.
Removing Assignments
Click on an assigned umpire’s initials in a game block to stage a removal.
Assignment Stats
The stats table on the right side shows real-time plate and bases counts broken down by division for every umpire in the pool.
- P = Plate assignments (position index 0)
- B = Bases assignments (all other positions)
- Total P / Total B = Sums across all divisions
- All = Total games assigned
Plate counts that are significantly higher than others are highlighted in red, helping you spot imbalances quickly.
Aim to rotate plate assignments evenly. The stats table updates in real-time as you save assignments, so check it frequently while assigning.
Availability Filtering
Toggle between All Officials and Available Only using the button in the Officials section header. When set to “Available Only”, umpires who have marked themselves as unavailable for the selected day are hidden from the timeline.
Best Practices
- Plan Ahead - Set up tournament schedule and umpire pools early
- Communicate - Notify umpires about tournament dates and ask them to set availability
- Balance Crews - Mix experienced and newer umpires using the stats table
- Use Pools - Create focused pools for different tournament rounds
- Have Backups - Identify standby umpires for each day
- Save Often - Save each day’s assignments as you finalize them
Have umpires set their availability in the app before tournaments. This lets you use the “Available Only” filter to see who’s actually available for each day.
